Administrative Assistant

Department: Catalyst Europe / EMEA

Reports To: Executive Director, EMEA

Location: Zürich, Switzerland

Summary of Responsibilities

The Administrative Assistant provides all administrative support for the Catalyst EMEA Team and also supports revenue-generating and engagement activities for the department. This position focuses on departmental administrative functions, database maintenance, financial processes, and reporting activities.

Essential Functions

  • Responsible for departmental revenue-generating activities including data entry for monthly engagement invoicing, outstanding invoice follow-up, tracking, and reporting
  • Provides general day-to-day administrative support for department
  • Updates Salesforce database and records
  • Manages team calendar, schedules and coordinates meeting logistics and communications, and travel
  • Prepares documents and resources for meetings
  • Maintains department files
  • Provides support to Catalyst EMEA team members for events and engagements; including basic technical support on Adobe Connect for web conferencing support, preparing events materials, and other administrative functions as needed

Knowledge and Skills

  • High level of computer literacy in a networked Windows environment, including database management and word processing/pc skills (knowledge of Salesforce, Word, PowerPoint, Excel, and Outlook a plus)
  • General understanding of business environments
  • Ability to maintain a high level of confidentiality, accuracy, and very detail-oriented
  • Service-oriented listener who is responsive and takes initiative
  • Ability to work well independently or with a team
  • Excellent interpersonal and relationship-management skills
  • Great proofreading skills
  • Superior written and verbal communication skills (in English)
  • Ability to juggle multiple project responsibilities and meet deadlines

Education and Experience Requirements

This position requires a secondary education degree (or equivalent years of experience) and at least one (1) year of relevant work experience.
