The Marketing Coordinator role coordinates a variety of marketing, program management and administrative activities, within the Marketing organization as well as managing Alaska's four Guest Advisory boards.
Scope & Complexity
This individual contributor position focuses on coordinating and supporting marketing activities for Alaska Airlines and Horizon Air.
Coordinates calendars and schedules meetings for managing directors. Including responding to calls, emails and meeting requests on behalf of the managing directors, as well as coordinating travel arrangements and maintaining appropriate records.
Manages Guest Advisory Board members and meetings across four markets. Including member identification, screening and selection. Determines meeting location and contracts meeting services with venues. Acts as primary point of contact for all members.
Works with VP and MDs to determine topic of monthly Officer/MD calls and to track completion and summarize findings. Assigns guests to individual MDs and Officers.
Works directly with MDs and Officer to review and validate Elite nominations for both Horizon and Alaska.
Administers prize fulfillment, including travel vouchers, while following accounting policies and procedures.
Responds to inter-departmental requests for brand/advertising/promotional support. Filters and distributes responses to incoming calls, email, and regular mail correspondence in support of managing directors and staff.
Processes invoices, including routing of signatures for agency and vendor billings, and tracks invoices through payment of vendors. Prepares expense reports, budget coordination, reporting for vendors, and orders supplies.
Oversees creation of marketing and promotional materials, and coordinates distribution of all elements (including promotional supplies) in support of marketing sponsorships and trade media partners.
Oversees meeting set-up (e.g., Web-ex, A/V, F&B and lodging arrangements) internally and at remote locations. Prepares meeting support materials such as PowerPoint presentations and other exhibits.
Job-Specific Skills, Experience & Education
A minimum of 2 years of experience in a marketing, customer service, or administrative role.
Experience with budget processes and systems.
Ability to effectively represent Alaska with important and often demanding guests (i.e. Elites).
Analytical and problem-solving skills.
Ability to maintain confidentiality and maintain composure under pressure.
Demonstrated ability to readily learn new skills.
A professional work ethic and the ability to work well with others at all levels of the organization.
Effective communication skills (e.g., verbal, written, and listening).
Detailed oriented and highly organized, with ability to multi-task and work independently with limited guidance in a fast-paced environment.
Proficiency with Microsoft Office applications (e.g., Word, Excel, PowerPoint, and Outlook).
High school diploma or equivalent.
Minimum age of 18.
An Associate degree with a focus in marketing or a related discipline.
